d) Your contract and payment
When you contact us to register your interest in My Special Event services to organise your event by email, online form, post or telephone your details will be automatically stored electronically or manually on our company database. This includes registering your interest in Generations Singing Duo or Vows & Views Wedding Fairs, both services are run by My Special Event
A personal one-to-one meeting will be set up with the client and My Special Event to outline any requirements needed for the event and any payment will be discussed at this point.
No bank details will be held by My Special Event unless the clients have provided consent for this to be done and any monies which have been given to us to pay suppliers and companies on your behalf will be done in line with the client’s contract and a receipt will be given to the client for any payment made to My Special Event or relevant parties.
This information is necessary to complete your contract with us and you have the option to opt- out of this information being stored by My Special Event at any time.
Please note that this list is only applicable to your use of our services either through our website or in person. Data Sharing
We may share your information with other companies in line to fulfil your requirements of the contract when planning the client’s event. In all cases, we have contracts and agreements in place to ensure that your information is protected and is not used for any other purpose than those listed above. Companies that we share information with are:
• Companies/Suppliers involved in the planning of the client’s event
• Companies or legal establishments who need the client’s information for authorisation of an event or it is a legal requirement needed for the event which is being planned for the client
International Transfer (especially for Overseas Events – Weddings/Hen & Stag parties)
NOT RELEVANT TO Vows & Views Wedding Fair Services or Generation Singing Duo Services
Where information is transferred outside of the EEA, we ensure that appropriate safeguards are in place to protect your information to the same or an equivalent level as would be found in UK and EU data protection legislation. The safeguards we use are:
• Ensuring the country is the subject of an EU adequacy decision; or
• Ensuring the company is a member of an adequate legally-binding scheme such as the EU-US Privacy Shield; or
• Ensuring the contract includes ICO-approved model contract clauses; or

Retention
In accordance with relevant data protection legislation, we will not retain your information for longer than is necessary for the purposes listed above and to deal with any complaint or dispute you may have. Client data will be held for 12 months or until the event is finalised and held on behalf of the client (whichever is the sooner). Some information may be on file for longer if the organisation of an event is longer than 12 months. All clients will be made aware of this and have the option to opt in or out at any time.

2024- Update – My Special Event Covid Policy
During the Pandemic and beyond many businesses including My Special Event have had to adapt their policies and their procedures. Now as well as a Privacy Policy, a new GDPR Covid Policy has been written to cover businesses when it comes to policies and procedures during Covid. Please read My Special Event’s Covid Policy below. As of 2024, no Covid restrictions are in place, but if there is such a time this were to change then My Special Event would adhere to the new policies put in place by the central government and would ask clients to respect the decisions they make to keep them and other guests safe.
